Privacy Policy

Due to the nature of how our furmeets are ran, it is not necessary to have a full privacy policy. However, it is still practical to have a Privacy Policy in place to highlight what information we take (if any) and how it affects you.

Foreword

Exeterfurs is the name used to describe the Exeter furry meets. These happen once a month, with a party happening twice per year. There is no ‘business’ registration for them, as it is not in relevant interests to do so. In this document, any time ‘Exeterfurs’ or ‘we’ are referenced, it is in reference to anything that describes the meets, their administrators, volunteers or anybody that volunteers for, and on behalf of them.

Information taken in-person at the meets and parties

We do not collect any personal data on our attendees in-person during these meets. Any personal data we come across is strictly coincidental, and records are not kept along these lines once the relevant meet has completed.

The main website uses cookies to enhance the user experience. We do not collect any data on devices used, IP addresses, locations, etc. The main website does not require, nor ask for, data on our attendees, potential attendees, staff or volunteers of any kind.

You have the legal right to opt-out of any cookies used by this website on your initial visit. This will not affect your right to use this website, but the user experience may be degraded. Cookies may be stored on your device for this purpose, but there is zero capability of Exeterfurs staff, assistants nor its suppliers to read the data contained within them, or where they are sent from.

The above is in line and above our requirements within the General Data Protection Regulation (GDPR) that came into effect 25th May 2018.

We may take personal data when you register as an attendee at our parties, however, the data required is the minimal required to do our due diligence. The data we take is as follows:

•    Real Name
•    Furry Name
•    Contact E-Mail Address

This is stored on secure web servers using our hosting service, IONOS, and we use the ticketing system OSTicket. Exeterfurs staff have access to this system, however, Exeterfurs assistants and our suppliers do not. Access to this data is strictly limited to those people who have a relevant use for such data.

Once our use of this data is no longer required, it is instantly and securely deleted. The timeframe for this is a maximum period of six months, but is more possible to be sooner.

Photography and Video at our meets

Due to GDPR regulations, photography and video act as personal data within its scope. Exeterfurs have a team of photographers that will be taking official photos and videos at the furmeet.

While we do not operate a formal notification process, recording at informal social gatherings of this nature is a common and widely understood practice. As such, individuals attending can reasonably expect that photographs or videos may be taken and shared in a general context in an official capacity. Items that are taken in an official aspect may be used for documenting community activities and events as part of social media content only.

With that said, if you do not want to be in any official media, please inform a member of the admin team upon arrival of the meet or event you are attending. Every effort will then be made to ensure we follow your request, however, there may be times when your likeness is in a photo or video accidentally. If this happens, please let us know and we will do our best to blur, or remove you.

If you do not let us know that you do not wish to be part of our official media, you may request your removal from it at a later date as per regulations, however, if we have a legitimate interest to keep our media intact, we will inform you of this and our reasons for refusal. A request of erasusre is not a guarantee that we will remove your likeness from our photos or videos. We will do our very best to uphold these decisions, however, if it is unfeasable that we can do so, we will inform you of our reasons in writing.

This policy only covers any photos and videos that are taken by anybody who is part of Exeterfurs, it’s staff or volunteers, or shared to any of our official social media. This does not cover any media taken by an attendee that is not shared by us (for example, an attendee uploading videos on their social media). If you wish to be removed from their content, you will need to speak to the person of relevance, as Exeterfurs are unable to assist in these types of requests.

Legal Processing of Data

Due to Exeterfurs not requiring any data to carry out its day-to-day tasks, we do not have a requirement to register with any authorities, such as the ICO. This may change in future, and if this does, we are required to update this policy promptly to highlight to you how this may affect you.
